            About The Translation

To assist graduate students who may require assistance in the National Language, Centre for Graduate Studies (CGS), Universiti Kebangsaan Malaysia has decided to translate frequently referred documents among them some selected clauses of the Akta Pengajian Siswazah 2000. The choice of clauses translated is based on the frequency of enquiries from students.

Every effort has been made to ensure that this booklet has been translated accurately. However, if there are any significant differences between this translation and the substance in the original Jadual Kepada Akta Pengajian Siswazah 2000, then to all intents and purposes, the original document will pevail.

Should you find ambiguities in this translation, please do not hesitate to inform us.

2.2              Proficiency in Bahasa Melayu

External (non-Malaysian) candidates are required to complete two courses (totalling four units) in Bahasa Melayu , which will be organised by the University. Exemptions may be awarded for candidates who have undergone  similar courses in Bahasa Melayu organised by other organisations which are recognised by  the University.

3.2                3.2              Deferment of Study

A candidate who has been offered a place in UKM but has not registered, may choose to defer his/her study programme for a period not less than one semester but not more two semesters by writing to the Dean, CGS, within four weeks from the date of registration. The offer shall be withdrawn if a candidate does not request for deferment of his/her study within the prescribed time.

4                    4                    REGISTRATION AND FEES 

4.1             Semester Registration

A candidate who accepts the offer of admission shall pay all required fees and shall register at the beginning of each semester (or the beginning of each session, in the case of the Faculty of Medicine) for the duration of his/her study. A candidate is not allowed to register after the fourth week of the semester/session. Failure to register for each semester/session without written permission from the Dean, CGS for deferment, may result in deregistration as a student of the University.

4.2       Registration For Candidate Who Has Submitted His/Her Thesis

A candidate who has submitted his/her thesis for examination is required to register to maintain his/her candidature status until the completion of the thesis examination, but is exempted from paying registration fees for the semester.

4.4       Postponement of Registration

4.4.1 A candidate may request to delay registration on reasonable grounds. The period of suspension shall not be considered part of the candidate’s required duration of study. Written request for any such delay addressed to Dean CGS shall be made within the first four weeks each semester.

4.4.2 The period of postponement shall not less than one semester and not more two semesters during the candidate’s duration of study 

4.4.3   A candidate who request for postponement has been granted, is to all intents and purposes, no longer a registered University student and therefore shall not entitled to facilities provided by the University, except to seek counsel for specific purpose of maintaining his/her candidature status.

5.         Study Options

5.1              Candidates may choose one of the following study options (subject to the particular requirements of the course):

            5.1.1    Coursework only; or

            5.1.2    Thesis only; or

            5.1.3    Coursework and thesis; or

5.1.4   Coursework and practicum, or clinical and case 

           studies and/or thesis preparation

5.2       Conferment of the degree is dependent on the candidate having completed the necessary coursework units and/or thesis and/or clinical studies/practicum totaling not less than 30 units at Master’s level and not less than 60 units at PhD level, as well as passed all the stipulated examinations.

6.         Duration of Study

6.1       Master’s Programme (Coursework)

6.1.1    The programme duration for a full-time student is between two to four semesters

6.1.2    The programme duration for a part-time student is between four to eight semesters

6.2       Master’s Programme (Coursework and Thesis)

6.2.1    The programme duration for a full-time student is between two to four semesters

6.2.2    The programme duration for a part-time student is between four to eight semesters

6.3       Master’s Programme (Thesis)

6.3.1    The programme duration for a full-time student is between two to six semesters

6.3.2    The programme duration for a part-time student is between three to ten semesters

6.4       Master’s Programme (Clinical Studies)

This programme is run on a full-time basis only, with the study period ranging between two to six academic sessions.

7.2               Work Load

 

7.2.1        Coursework Load

For the candidate whose mode of study is other than 5.1.2, the total number of units allowed for each semester is between nine and eighteen for full-time candidature, and between three and nine units for part-time candidature.  The maximum number of units does not include research, clinical study and practicum.  The Dean of CGS may grant exemption from the required minimum or maximum number of units to candidates in final semester.

7.2.2        Research and Thesis Preparation

For the candidate who opts for mode of study 5.1.2., the number of units registered for each semester shall be no less than six.

7.6               Attendance

7.6.1           Candidates are required to attend all the lectures/tutorials/seminars organised as part of the coursework. Attendance rate must not be less than 90% for students in the Medical Faculty, or 70% for students in other courses. Failure to meet this basic requirement will result in ineligibility to sit for examinations, and the applicant will be awarded Grade E.

7.6.2       Candidates who have registered for a particular course but do not attend the required lectures/tutorials/seminars, and who have not applied to drop the course, will be awarded Grade E for that course.

7.6.2           The examination results for candidates who have not registered for a particular course, but continue to attend classes, will not be accepted.

8                    THESIS

 

8.1  A candidate is not permitted to re-submit any thesis which has previously been presented to UKM, or any other university, but may include parts of his/her previous work provided they are clearly referenced.

 

8.2  If agreed upon by the supervisor or Graduate Committee, a candidate may publish papers based on his/her work done during the period of candidature, provided they contain due acknowledgement to the University

 

8.3  The Doctor of Philosophy thesis shall not exceed 100,000 words.  The Master’s thesis (without coursework) shall not exceed 60,000 words.  The Master’s thesis with coursework shall not exceed 30,000 words.  The prescribed total number of words does not include footnotes, quotations, appendices, summaries, schedule, charts etc.

 

8.4  Permission to exceed the number of prescribed words in the thesis may be obtained by writing to the Dean CGS at least three months before submission of the thesis for examination.

 

8.5  The thesis shall be written in Bahasa Malaysia, to be preceded by an abstract, and the translation the abstract in English or Arabic.  Under certain circumstance, a thesis may be written in English or Arabic with the translated abstract in Bahasa Malaysia, and a longer abstract, also in Bahasa Malaysia, not exceeding 1000 words.  Any request to write a thesis in any other language (English or Arabic only) shall be made to the Dean CGS for consideration and approval.

 

8.6  Regulations on preparation of the thesis are stipulated in the Panduan Menulis Tesis Gaya UKM (The UKM Style Guide)

 

8.7  A candidate who submits his/her thesis shall:

 

8.7.1     notify the Dean, CGS, in writing three months prior to               submitting his/her thesis for examination;

8.7.2     obtain prior written approval from the supervisor. 

 

8.8  A candidate shall submit five copies of his/her thesis which has been  approved by the Senate to CGS at the end of his/her study programme.

 

8.9  The thesis may be published only with permission from the University.

 

10.8 A candidate who fails the degree of Doctor of Philosophy may be considered for the  Master of Philosophy degree if the Board of Graduate Examiners is of the opinion that the thesis submitted does not meet the standard required for the degree of Doctor of Philosophy.

 

14.2          Appeal against termination of candidature

 

14.2.1   A candidate whose candidature is terminated due to failure in satisfying the programme’s requirements may appeal against the ruling.

 

14.2.2   Each appeal should be submitted to the Dean, of the CGS within four weeks after official announcement of examination results.  A non-refundable fee of RM50.00 shall be levied on each appeal.  Any appeal submitted after the deadline will not be considered.

TERMINATION OF CANDIDATURE

16.       Termination of Candidature

Subject to the approval of the Senate, students may be disbarred from continuing their studies at any time if they have been deemed to:

  • Contravene the Graduates’ Act, Rules and Regulations
  • Contravene Malaysian law
  • Behave in an unacceptable manner
  • Fail to show satisfactory progress in their studies
  • Experience mental or serious emotional problems
  • Take part in activities in contravention of the Universities and Colleges Act
  • Initiate and maintain contact with external examiners who are involved in the grading of their thesis
